Free AI prompt templates for customer success and support

By Draft First, October 2026

Three short prompts for customer success and support work, free to copy, use and share. Paste one into ChatGPT, Claude, Gemini, Copilot or whatever AI tool your company approves, and swap the [brackets] for your own details. Each one keeps a person in charge: it drafts, you decide and send.

If you share these, a link back to this page is always appreciated.

1. Escalation brief for leadership

Turns a long escalation thread into one page a leader can act on in two minutes.

Write a one-page brief on [ticket or account] for [leader]. Use only
[ticket thread, emails, notes]. Sections: headline (customer, problem,
impact, status), customer impact in their own words, dated timeline,
what we've done, what's blocked and who owns it, the decision we need,
next update time. Quote the customer only from source messages. Mark any
cause as a hypothesis until confirmed. Tag anything you can't verify as
[CONFIRM]. Draft only, never send.

2. Post-call follow-up email

Turns messy call notes into a short recap with owners and dates.

From these call notes, draft a follow-up email to [customer contact]:
a two-sentence recap, action items with an owner and date for each, and
one question that moves the account forward. Under 150 words. Use only
what's in the notes. If an owner or date is missing, write [CONFIRM]
instead of guessing. Match my tone from these sample emails: [paste 2].
Draft only, never send.

3. Angry email first reply

A calm first draft for a heated customer email, grounded in the ticket history.

Read this customer email and the ticket history below. Draft a reply
under 120 words that: names their problem in their own words, owns our
part in one plain sentence, says what we're doing next and when I'll
update them (use [TIME] if unknown), and offers a call if the issue is
serious. Never promise credits, compensation or release dates. Never blame the
customer. No "we apologize for any inconvenience". Draft only.
