Upsell and expansion email templates that help instead of push
Expansion goes well when it follows value the customer already sees. It goes badly when it arrives as a pitch out of nowhere. The best expansion emails point at something real in their account and offer a next step, not a price.
When to bring it up
- They're near a usage or seat limit.
- Another team has started asking for access.
- They've hit the goals in their success plan and are setting new ones.
- Renewal is coming and the account is Green.
Not when they're Red or mid-escalation. Fix first.
1. Near a limit
Hi Priya, Heads up: your team is at 46 of 50 seats, and three new hires start next month. I don't want anyone stuck without access on their first day. Want me to send options for adding seats, or would it help to first look at who's inactive and could free up a seat? Sam
2. A new team is interested
Hi Raj, Lisa from your billing team asked our support about access last week. It sounds like they have the same three-inbox problem your claims team had. Would it be useful if I put together a short summary of what changed for claims, so you can decide whether it's worth a conversation with billing? Sam
3. Ahead of renewal
Hi Dana, With renewal coming in January, here's where things stand: SLA misses down from 18% to 4%. Your team also mentioned wanting the reporting add-on for the board pack. If you'd like, I can include it as an option on the renewal quote so you can compare. No pressure either way. Sam
4. Value note to an executive
Hi Ana, A quick result worth sharing: dispatch time is down from 41 to 27 minutes since March across your two depots. Tom mentioned the new depots open in Q2. If it would help, we can plan the rollout so they start at the same level from day one. Sam
Keep it honest
- Lead with their result, in their numbers.
- Offer the cheaper option when it's right, like freeing inactive seats. Trust pays off at renewal.
- Hand warm opportunities to sales cleanly if they own pricing.
Spot expansion in your account plans, and track it in NRR.
