Customer onboarding email templates from welcome to first value
Onboarding emails set the tone for the whole relationship. These five follow the onboarding checklist and keep the customer clear on what's next and who owns it.
1. Welcome (day 0)
Hi Raj, Welcome aboard. I'm Sam, and I'll be your main contact while your team gets up and running. From your sales conversations, the goal is all claims tickets in one queue by December 1. Is that still right? If anything has changed, I'd rather hear it now. Could we hold 45 minutes next week for kickoff? These times work: [times]. Sam
2. Kickoff recap
Hi Raj, Thanks for today. What we agreed: First value: all claims tickets in one queue by Dec 1. - SSO live by Nov 3 | Lisa (you), Sam (us) - Inbox migration by Nov 20 | Raj, Priya If something blocks us for more than 3 days, I'll flag it to you and Dana. Sam
3. Weekly status
Hi Raj, quick status for week 2: Done: SSO configured. Next: inbox migration starts Monday. Waiting on: test accounts from Lisa (asked Oct 28). On track for Dec 1.
4. Stalled onboarding nudge
Hi Raj, We've been waiting on the calendar sync approval from IT for 6 days. I know these things get stuck behind other priorities. Is there anything I can send Lisa that would make it easier, like a security summary? If it isn't moving by Friday, would it help if I looped in Dana? Sam
5. First value reached
Hi Raj and Dana, As of this morning, every claims ticket is in one queue, a week ahead of the December 1 goal. Thank you to Raj and Lisa for pushing it through. Next, we'll start tracking SLA misses against the March target. I'll share the first numbers at our January review. Sam
Tips
- Status emails even when nothing moved. Silence feels like a stall.
- Name owners on both sides, every time.
- Copy the sponsor on the first value email. It's the one they should see.
The New Customer Onboarding Tracker play in The CS Agent Playbook drafts the weekly status from your tracker. Write goals into a success plan so they don't get lost.
