A sales to customer success handoff template that keeps promises from getting lost

By Draft First. Updated October 2026

The first time a new customer says "but your sales rep told us..." you find out what the handoff missed. Most handoffs fail the same way: the CRM has the contract value and the close date, and nothing about why they bought or what they were promised.

The fields that matter

A sample handoff note

Harbor Point Insurance | Closed Oct 14 | Renews Oct 2027 | 120 seats
Why they bought: claims team misses SLAs because tickets live in 3 inboxes
Success to them: all claims tickets in one queue by Dec 1 (COO's words)
People: Dana Wu, COO (signer) | Raj Patel, Claims Ops (champion)
Lisa Grant, IT (skeptical, worried about SSO)
Promised: SSO setup help in week 1; Salesforce sync "by end of year" [CONFIRM]
Risks: Dec 1 is tight; Lisa wasn't on the final call
Close notes: compared us with one other vendor, chose us on reporting

A 20 minute handoff call

  1. The rep tells the story of the deal in 5 minutes.
  2. Walk through every promise, one by one.
  3. Agree who introduces the CSM to the champion, and when.
  4. Name the one thing most likely to go wrong in the first 90 days.

Drafting it with AI

Reps hate writing handoffs, so they don't. An agent can draft the note from the CRM opportunity, call notes and email thread the moment the deal closes, and the rep only has to correct it.

When an opportunity in [CRM] moves to Closed Won, draft a handoff note
from the opportunity fields, call notes and email thread: why they bought
(in their words), success criteria with dates, people and roles, every
promise made with its source, risks, and contract basics. Tag anything
not clearly stated as [CONFIRM]. Send the draft to the rep and CSM only.

This is the Sales to CS Handoff Note play in The CS Agent Playbook. The handoff feeds straight into your onboarding checklist.
