Customer feedback request emails that people actually answer
Most feedback requests get ignored because they're long, generic and go nowhere. People answer when the ask is short, specific, and they believe someone will read it. They keep answering when they see something change.
What makes a request work
- One question, or at most three.
- A reason tied to something that just happened.
- A named person who will read it.
- A promise to share what you do with it, and then keeping it.
1. After onboarding
Hi Raj, Now that your team's been live for a month, one question: what's one thing that was harder than it should have been during setup? A one-line reply is perfect. I read every answer and share themes with our onboarding team each month. Sam
2. After a fix
Hi Dana, The export fix went out last week. Is it working the way your team needs? If anything still feels slow, I'd like to know before Friday's review with engineering. Sam
3. Input on a feature
Hi Priya, Our product team is planning reporting changes for next year, and your team uses reports more than most. Would you give us 20 minutes to show you early ideas? Honest reactions are the most useful thing you could give us. Sam
4. After they've left
Hi Rachel, I know you've moved on, and I'm not trying to change that. If you have two minutes, what's the main thing we could have done better? It goes straight to our leadership team. Thank you for the time you spent with us. Sam
Close the loop
Hi Raj, Last month you mentioned SSO setup was confusing. Based on your note and a few others, we rewrote the setup guide and added a checklist inside the admin page. Thank you for pointing it out. Sam
This second email is the one that earns future answers. Track every promise.
Where feedback goes
Group answers monthly in a voice of the customer report. Low survey scores need their own process: see following up on low NPS and CSAT.
