10 ChatGPT prompts for customer success managers, and how to make them work

By Draft First, October 2026

ChatGPT is only as good as what you give it. "Write a QBR" gets you a generic deck. The same request with the account's goals, numbers and history gets you a useful draft. These ten prompts work in ChatGPT, Claude, Gemini or Copilot. Swap the [brackets] for real details, and only paste customer data into tools your company approves.

Before any prompt

Start the chat with this, once:

I'm a customer success manager. Use only the information I give you.
Never invent numbers, names or dates. If something is missing, write
[CONFIRM]. Keep drafts short and plain. I'll review everything before
it goes to a customer.

The prompts

  1. Summarize an account
Summarize this account in 5 bullets for a new CSM: [paste notes,
recent tickets, renewal date]. Include open risks and promises.
  2. QBR fact pack
From this data, list their goals and the evidence for each, usage trend
and top ticket themes: [paste]. Facts only, no slides yet.
  3. Follow-up email
Turn these call notes into a follow-up email under 150 words with
action items, owners and dates: [paste notes].
  4. Renewal value recap
Write a short 90 day renewal email using these results: [paste].
Lead with their numbers. Mention this open issue honestly: [issue].
  5. At-risk outreach
Draft a specific, human email to [contact] about [signal, e.g. usage
down 24%]. Offer a 20 minute call. No "just checking in".
  6. Angry email reply
Draft a calm reply to this email using the ticket history below. Own
our part, give next steps and an update time. No promises of credits.
    [paste both]
  7. Escalation brief
Write a one-page escalation brief for [leader] from this thread:
impact, timeline, owner, blockers, the decision needed. [paste]
  8. Survey comment themes
Group these survey comments into themes. For each: count, two
verbatim quotes. Don't paraphrase quotes. [paste]
  9. Exec check-in note
Draft a 4 sentence note to [exec] sharing this result: [result].
Ask one question about their priorities for next quarter.
  10. Weekly update
From these notes, write my weekly update: 2 wins, 2 risks with
next steps, asks, and these numbers: [paste]. Five bullets max.

Making them better

From prompts to routines

Prompts help when you remember to use them. Routines that run on a schedule help every week without you thinking about it. That's the difference between these and the 14 plays in The CS Agent Playbook. For more, see AI prompts for customer success managers and the free prompt templates.
